IT Asset Lifecycle

Handbook

How IT Asset Lifecycle works

A short guide to every tool in the app (version 1.0.0). Everything described here works offline and without an account.

  1. 01 Registers

A register is the equipment list of one firm, office or client. Set its locations (offices, home workers, store room), the asset tag prefix and the service life per device type. Keep several registers side by side, duplicate them with or without devices, archive old ones, or start from a template: small office, two sites and remote staff, remote-first team, shop and back office.

  2. 02 Devices

Add type, model, asset tag, serial number, purchase date, supplier, price in pounds, location and status: in stock, assigned, in repair, retired or disposed. Asset tags are numbered automatically and must be unique in a register. Dates are typed as day/month/year, for example 18/10/2026.

  3. 03 Warranty and support

Enter the warranty end and, if there is one, the end of a support or service contract. The Warranty tab groups devices in stock, assigned or in repair into expired, ending within 30, 60 or 90 days, covered and no date. Retired and disposed devices are left out.

  4. 04 Issue log

Use Issue on a device in stock to record who receives it, the date and the condition. Use Return when it comes back and choose the next status. Tick “confirmed” when the employee has acknowledged the handover — no signature is needed. The People view lists everything a person holds.

  5. 05 Replacement plan

A device is due in its purchase year plus its service life. The Plan tab shows the devices due per year and the budget in pounds for the current year and the next five, using the replacement cost or else the purchase price, plus an optional yearly price rise set in the register. Devices whose year has passed are counted as overdue in the current year.

  6. 06 Stock check

Start a stock check from the register menu, then tap the eye on every device you can see. “Not seen yet” lists what is missing. Finishing saves the result in the history; the date of the last check stays on each device.

  7. 07 Export

Export the inventory as CSV or as an A4 PDF list with a “Seen” box per device — all devices, or by status, location or person. Share the file through any app or save it to a folder you choose.

  8. 08 Search and history

Search across all registers by asset tag, model, serial number, person, supplier, #tag or date: a day (18/10/2026), a month (10/2026 or Oct 2026) or a year (2024). Every addition, edit, status change, handover and stock check is listed in the register history with date and time.

  9. 09 Backup

All data stays on the device. Under More → Backup and data you can share or save a JSON backup and import it again — added to what is there, or replacing it. The backup contains employee names, so keep it somewhere private.
